Volunteering Options

 

All Open Studios participants are required to volunteer for four hours leading up to the event. Please select at least one of the following committee options when you register. Once committees are formed tasks will be divided amongst committee members.

 

Fundraising and Sponsorship Committee (May - July)

  • Identify and engage new fiscal sponsors

  • Reach out to former sponsors to renew sponsorship for 2025

  • Brainstorm and list potential new sponsors

  • Develop script for approaching sponsors

  • Make and send thank-you cards to sponsors

  • Apply for annual grants: Jones Partnership and Waltham Cultural Council (Fall)

  • Identify and apply for other grants (Fall)


Website and Technology Committee (June - October)

  • Help participants create or update artist pages

  • Update website information – Make sure sponsors and artists are listed correctly on website

  • Perform website testing to ensure all images/data are displaying properly and all links work

  • Prepare web content as needed; proofread all web pages


Marketing, Advertising Committee (September - October)

  • Manage event presence in print and online publications

  • Write and distribute press releases

  • Develop and place radio and other print ads

  • Proofread all printed material

  • Graphic design as needed

  • Make sure Banners and Yard signs are updated with accurate info/sponsorship and in good condition.


Social Media Committee (June - October)

  • Develop Social Media strategy

  • Post regularly on FB, Insta, Twitter, etc.

  • Communicate and coordinate with participating artists to promote content for all artists

  • Like, share, WOS artists and sponsors

  • Keep Facebook page updated


Planning Committee (September - November)

  • Floor Rep/Planning Committee Member (1 person per floor in Building 4, or building if in Lincoln Studios, Metalwerx, or Building 18)

  • Attend monthly Coordinator and Planning Committee meetings on Zoom 

  • Keep artists on floor appraised of what is happening at meetings and get feedback to bring to future meetings

  • Make sure registered participating artists on floor are aware of deadlines/opportunities

  • Rotate taking minutes of monthly meetings and provide them to newsletter

 

Logistics (September - November)

  • Contact City of Waltham and procure permits for sidewalk signs and banners

  • Bring Banners to Building Department

  • Distribute and hang posters

  • Place sidewalk signs in designated locations the week before WOS and remove within 2 days after WOS and return to storage unit in Building 4

  • Update and distribute safety instructions to all participants


Outreach Committee (July - October)

  • Work on the October display cases at Waltham Public Library: contact artists, collect artwork, design cases, and break down and return artwork.

  • Enlist volunteers to sit at the booth at Waltham Day, September 17th. Hand out WOS postcards, chat with visitors, provide art activity, Staff the booth at Riverfest, June 17th. Hand out WOS postcards, chat with visitors, provide art activity

  • Identify potential outreach/collaboration opportunities, i.e. bringing diverse communities to WOS, organize collaborative workshops/exhibits

  • Produce external monthly newsletter to be distributed electronically 

  • Solicit local news from artists such as shows, workshops, events to be included and promoted in Newsletter

  • Include any building-wide and/community-wide information for artists
